Recruitment Automation That Gives Recruiters Their Day Back
We design and implement custom automation for recruitment agencies: candidate and client follow-up, ATS and CRM updates, and clean handoffs to recruiters, so fewer opportunities slip through the cracks.

Who it is for
Recruitment agency owners, founders, managing directors, heads of recruitment, talent acquisition leads, and recruitment or HR operations teams, primarily in the US, UK, Canada, Australia and Singapore.

What is recruitment automation?
Recruitment automation uses AI and workflow tools to handle the repetitive parts of agency recruitment: acknowledging candidates and clients, qualifying inquiries, sending follow-ups, and keeping the ATS or CRM up to date. Recruiters stay in control of judgment calls such as shortlisting, client conversations and offers. AI AUTOMATO builds this around the systems an agency already uses rather than replacing them.
Does this sound familiar?
Follow-ups depend on memory
Candidate and client follow-ups live in inboxes and sticky notes. When a recruiter is busy, they simply do not happen.
The ATS is always behind
Notes, statuses and contact details are copied in by hand, so the database recruiters rely on is rarely current.
Admin crowds out billing work
Scheduling, chasing documents and status updates take the hours that should go to sourcing and client relationships.
Business development stalls
Client inquiries and warm leads wait for a reply while the team focuses on live roles.
Slow responses lose candidates
Strong candidates hear from other agencies first when an application sits unacknowledged.
Fragmented tools
Job boards, email, LinkedIn, spreadsheets and the ATS do not talk to each other, so nobody sees the full picture.
From a manual workflow to an automated one
Today: a typical manual workflow
- An application or client email arrives in a shared inbox.
- A recruiter notices it hours or days later.
- Details are retyped into the ATS, if there is time.
- Follow-up depends on someone remembering.
- Managers cannot see which candidates or clients are waiting.
After: an automated workflow
- Every candidate or client inquiry is captured and acknowledged right away.
- AI qualifies it against your criteria and flags priority.
- Follow-ups go out on schedule, with human approval where you want it.
- The ATS/CRM record is created or updated automatically.
- The right recruiter gets a clear handoff with full context.
What we build for you
Inquiry capture and acknowledgement
Applications, client briefs and website inquiries are captured from email and forms and acknowledged in your agency's voice.
AI-assisted qualification
Inquiries are checked against your role, location, availability or client criteria and given a clear priority.
Follow-up sequences
Candidate and client follow-ups run on schedule. Sensitive messages can require recruiter approval before sending.
ATS and CRM sync
Records, notes and statuses are written back to your ATS or CRM so the database stays current.
Recruiter handoff and alerts
High-priority candidates and client opportunities are routed to the right recruiter with a summary.
Pipeline visibility
Managers can see what is waiting, what was followed up and where opportunities are moving.
A 15-recruiter agency handling inbound candidates and client briefs
Illustrative scenario, not a client case study: a candidate applies through a job board. The workflow acknowledges the application, checks it against the role's must-haves, updates the ATS record, and drafts a tailored follow-up for the recruiter to approve. A client brief that arrives the same day is logged as an opportunity and routed to the account owner with a summary.

What changes for your team
Results depend on your workflow, data quality and adoption. We agree how success is measured in the proposal.
Faster first response
Candidates and clients hear back while their interest is still high.
Less recruiter admin
Routine updates and follow-ups stop eating into billing time.
A reliable database
The ATS reflects what actually happened, without end-of-week data entry.
Fewer missed opportunities
Client inquiries and warm candidates no longer wait in an inbox.
How results are measured and accepted
Before rollout we record your current baseline and agree targets and an acceptance checklist in the proposal. At the end of the paid pilot we accept the work against the same system records and spot checks. We do not promise or inflate numbers up front.
Candidate response time
How quickly candidates get an acknowledgement and next step.
Measured from system timestamps, before and after.
ATS freshness
Whether candidate status reaches the ATS or CRM the same day.
Measured by comparing communication logs with ATS updates.
Recruiter admin time
Time recruiters spend on data entry and routine follow-up.
Logged by the team before and after rollout.
Client request handling
Whether new client requests are logged and assigned within the agreed time.
Checked against logging and assignment records.
Who this is for, and who it is not for
A good fit
- Agencies with a steady flow of candidates and client inquiries
- Teams already using an ATS or CRM, even if it is not kept up to date
- Owners who want recruiters focused on placements, not admin
- Agencies willing to define what a qualified candidate or client looks like
Not a fit
- Teams looking for a fully automated recruiter with no human involvement
- Very low-volume hiring where manual handling is already fast
- Projects that require scraping or messaging that breaks a platform's terms
- Buyers looking for an off-the-shelf tool without consulting or implementation

Frequently asked questions
Do you replace our ATS?
No. We connect to the ATS or CRM you already use and keep it updated. If your system has no usable API, we confirm a workable approach during discovery before anything is quoted.
Will candidates receive messages without a recruiter seeing them?
Only if you choose that. Routine acknowledgements can be sent automatically, while personalized or sensitive messages can require recruiter approval first.
Can this work for agencies outside the US?
Yes. We work with agencies in the UK, Canada, Australia, Singapore and elsewhere, and design the workflow around your time zones and data-protection requirements.
How long does a first workflow take?
It depends on your systems and scope. We usually start with one focused workflow as a paid pilot, and the timeline is agreed in the proposal after discovery.
How much does it cost?
Every project is quoted individually based on workflow scope, systems, integrations, complexity and implementation requirements. There are no fixed public packages.
